What wasn't working.
Tomson & Sons has decades of service records, pricing sheets, technical manuals, and job history sitting across filing cabinets, email threads, and a few shared drives that nobody fully trusted. When a staff member needed to find something — a past job record, a pricing precedent, a supplier contact — they'd spend significant time searching for it, or just ask a senior tech from memory. Writing new documents was the same problem in reverse: starting from scratch every time, or copying from an old file that may or may not have been current. There was no single place to find anything, and no reliable starting point for writing anything new.
We built a Company Brain — a searchable system that ingests all of their documents: job records going back decades, service manuals, pricing sheets, quote templates, supplier contacts, and internal guides. Staff can type a question in plain language and get the right document, the relevant pricing reference, or the right template in under a minute. When writing something new — a quote, a job report, a client proposal — the system surfaces the most relevant past documents as a starting point, so nothing gets written from scratch. It also connects directly to the AI receptionist, so the same knowledge that staff use internally is what the AI draws from when handling client calls.
